Dance International magazine is committed to providing exceptional
service to our customers and supporters, as well as fostering journalistic/publishing
excellence amongst our contributors and suppliers. Since an integral
part of our business involves the collection, use and disclosure
of personal information, we take the responsibility of respecting
our stakeholders' right to privacy very seriously.
As a non-profit Canadian magazine with customers and contributors
from around the world, our stakeholders are protected by the federal
Personal Information Protection and Electronic Documents Act (PIPEDA),
which came into effect on January 1, 2004. The purpose of the act
is to balance an individual's right to privacy with the need of
organizations to collect, use and disclose personal information
in the course of commercial activities. Our privacy policy complies
with this act.

Throughout this policy, the mention of "Dance International
(magazine)" or simply "the magazine" refers to both
the publication, as well as the staff who produces the publication
(editors, business manger, art director and advertising manager).
Under PIPEDA, "personal information" is defined as any
factual or subjective information that identifies an individual,
including:
- name
- mailing address
- age
- gender
- income/financial/credit information
- IP address and other computer/internet-related details
- visual images such as a photograph where an individual may be
identified
- opinions, evaluations, comments and intentions of an individual
- customer account details, such as what subscription gift selected
and whether the said gift has been processed
Examples of information that are not considered personal in the
act:
- contact information
- personal information collected, used or disclosed solely for
journalistic, artistic or literary purposes
"Contact Information" means information that would enable
an individual to be contacted at a place of business and includes
name, position name or title, business telephone number, business
address, business email or business fax number.
"Commercial Activities" refer to any particular transaction,
act or conduct or any regular course of conduct that is of a commercial
character. PIPEDA recognizes that non-profit organizations do engage
in commercial activities but the following are not considered commercial
in this context:
- fundraising
- mailing out newsletters to members
- collecting membership fees
- compiling a list of members' names and addresses

Purposes of Data Collection &
Consent [top]
In general, individuals who subscribe to Dance International,
either by completing a subscription card or an electronic form
accessible from our website, implicitly consent to the collection
and use of personal information for the purposes of fulfilling
a magazine subscription. Subscribers and supporters that supply
email addresses and agree to be thus contacted by the magazine
will receive subscription renewal notices and monthly e-newsletters
(Dance Notes) by email. Otherwise, communication with current
subscribers will be maintained by post, though these subscribers
will not receive the monthly Dance Notes updates from the magazine
because they are only distributed via email.
Occasionally, the magazine will host contests and surveys, both
in the magazine and on our website, to encourage relations with
our readers and to further promote our publication. Participants
in these promotional initiatives will be given the opportunity
to opt out of providing their personal information to the magazine,
though any and all information provided will be added to our database
for archival purposes.
Personal information that was collected prior to January 1, 2004
(before PIPEDA came into effect) is assumed to have been supplied
with consent. New subscription renewal notices and subscription
cards afford customers the opportunity to expressively consent
to communications with the magazine post-PIPEDA.

Disclosure [top]
The magazine does not share the personal information it collects
about our stakeholders with third parties unless it serves an
essential business purpose, e.g. to complete a credit check on
a potential customer and to provide a subscriber's address to
our printer for mailing. The Vancouver Ballet Society, which publishes
the magazine, does not have access to our stakeholders' personal
information as defined by PIPEDA.
Should a third party request details about our customers, the
information disclosed will be anonymous and aggregated in nature,
typically for the purposes of sales and advertising. In special
circumstances, with expressed consent from individuals, individual
signed comments about the magazine will be published in our promotional
materials.
Note: Dance International will never ask stakeholders to disclose
personal information such as credit card numbers over email, which
is an unsecured medium. Subscriptions are best completed via our
online store because our web server securely encrypts all supplied
data before it is sent to the magazine.
Retention of Information [top]
Unless otherwise specified, Dance International reserves the right
to retain the personal information of past subscribers in our
database for up to 5 years after the date of subscription expiry.
This policy is in place to enable the magazine to maintain positive
relations with past subscribers. Of course, past subscribers may
request the magazine to terminate their records and thus terminate
communication with the publication at any time. Please bear in
mind though, that complete deletion of personal records is impossible
with archived data (e.g., past databases that have been burn onto
CD ROMs for backup purposes).
Storage of Collected Information

Information gathered about our customers, supporters, contributors
and suppliers are stored in a secured database located in Vancouver,
in the province of British Columbia, Canada. The database is regularly
updated and archived in-house. All reasonable measures have been
taken to ensure the information in the database is as safe and
secured as possible. While Dance International strives to maintain
the integrity and accuracy of the information collected, it is
the responsibility of stakeholders to supply the magazine with
the most up-to-date and correct detail to help us better serve
them.
Information Rights of Stakeholders

Stakeholders of the magazine also have the right to request access
to, correct and or challenge the completeness of information that
is of a reasonable amount that the magazine holds about them,
whether one is an organization or a private individual. All requests
for disclosure, challenge and or correction are subject to verification
of identity to safeguard against identity theft and other common
electronic crimes. Please allow a minimum of 30 days to process
each request.

has no jurisdiction over the way in which our commercial web server/Internet
Service Provider (ISP) handles electronic data or its policies,
though the same PIPEDA applies to the organization as the magazine.

Purposes of Data Collected &

All visitors to the Dance International website are subject to
cookies: electronic files that are automatically embedded in their
computers by our commercial web server to gather information about
each internet session and website visitor. Information collected
includes but is not limited to:
- length of each session
- webpage(s) visited by each visitor
- IP address of visitor
- Operating System the visitor uses
- temporarily retaining data inputted from webpage to webpage
(online store)
Our server collects information about each visitor and session
for a number of business reasons (which are noted in various online
policies and statements, see the links below). In the context
of Dance International's website, the accumulated data provides
the magazine with aggregated data about our website's web traffic.
This information helps the magazine better understand the needs
and areas for improvement as experienced by visitors to our website.
All information collected about our website visitors are communicated
to the magazine in a secured manner; similarly, this information
is not shared with any external parties.
Personal information collected about our website visitors are
provided on a voluntary basis, such as by registering to receive
an e-newsletter from Dance International or completing a survey/contest.
This information will be treated as any other personal information
as governed by the PIPEDA: not only will individuals have the
option to opt out of providing personal information to the magazine
through our website, they must also consent to being contacted
by the magazine with the information supplied.
Any information provided through our online store will be encrypted
and secured before it is sent via email to the magazine. Our ISP
maintains the software that makes this process possible.
